How to stop losing WhatsApp enquiries after hours in Malta

If enquiries land on WhatsApp after you close, set an away message in the WhatsApp Business app. Save your opening hours in your business profile first, because the “outside of business hours” schedule cannot run without them. Keep the phone online, or nothing sends. That covers tonight. It does not fix the deeper leak, which is the quote typed twice and the thread you rebuild from memory on Monday. That part needs a process, not a setting.

Nobody loses a job at 19:40. They lose it at 08:30 the next morning.

A woman in Qawra needs her hair done before a wedding. She messages three salons on Thursday evening, because that is when she finally sat down. Two of them are shut. One replies in eleven seconds with a line about opening at nine. By Friday lunchtime she has booked, and it was not the salon with the best work. It was the one that answered.

Why the enquiry is already cold by morning

The enquiry does not go cold because you were slow. It goes cold because your customer asked more than one business at the same time. That is now normal. The phone is the shop window, Facebook is often the whole shop, and a message costs nothing to send four times.

So the race is not between you and the salon down the road on quality. It is between you and whoever happened to be holding a phone. If your answer arrives at half eight and theirs arrived on Thursday night, you are not in a slower position. You are in no position.

The Four Moves: how a week actually leaks

We call this pattern the Four Moves. Almost every week we look at leaks in the same four, in the same order:

  1. A message lands mid-job. You are at the till, in the van, or with a client. You see it. You cannot answer it.
  2. The thread gets rebuilt from memory. Next morning you scroll back to work out what they wanted and what you already promised.
  3. The same quote gets typed twice. You wrote this price last week for someone else. You write it again from scratch.
  4. The lead went to whoever answered first. The work was never won or lost on skill.

An away message only touches the first move. It is still the right thing to do tonight, because move one is where the other three start.

Set the away message up tonight

This takes about fifteen minutes and costs nothing. It needs the WhatsApp Business app, not the normal WhatsApp app. Away messages do not exist in the personal one.

1. Save your opening hours first

Open your business profile and fill in your hours. Do this before anything else. The scheduling option most owners want is locked until those hours exist, and that single skipped step is why a lot of away messages never fire.

2. Turn the away message on

In the Tools tab, tap Away message, then turn on Send away message. Tap the message itself to edit the text, then tap OK.

3. Choose when it sends

Tap Schedule. You get three choices. Always send sends every time. Custom schedule sends only in a window you set. Outside of business hours uses the hours from step one, which is the one most shops want.

4. Choose who gets it

Tap Recipients. You can send to everyone, to everyone who is not in your address book, to everyone except a few people, or only to contacts you pick. For a shop or a studio, everyone not in your address book is usually the sane setting. Your suppliers and your sister do not need an auto-reply. Then tap Save.

5. Write it so it holds the lead, not just the silence

Most away messages say “we will get back to you”, which is the sentence that loses the job. Give a time and a next step instead. Something like this:

Thanks for your message. We are closed now and we read everything at 09:00. Tell us what you need and a date that suits you, and we will come back with a time. If it is urgent, write URGENT and we will call you first thing.

That version does three things the default does not. It sets a real time, it asks for the two details you would have to chase anyway, and it gives an urgent path so a genuine emergency is not sitting behind a template.

The two settings that quietly break it

Both of these look like the away message is working when it is not. Check them before you trust it.

Test it yourself. Message your business number from a friend’s phone after closing. If nothing comes back within a few seconds, one of those two is the reason.

What an away message will not fix

An away message buys you the night. It does not do the work that is actually eating your week:

Diagnose before you automate

The temptation after a bad week is to buy a chatbot and bolt it to the front. We would not. A bot on top of a messy process gives you a faster mess, answering questions you have not decided the answers to yet.

Our rule is never automate chaos. Before anything gets automated, we work through four steps in order. Diagnose where the week actually goes. Articulate what the right answer is, in your words, not a template’s. Systemize it so it happens the same way every time. Only then bring in AI, and only on the one motion that is worth it.

Most of the hours come back at step three, before anything clever happens. That is usually the surprise.

One thing to do today

Set the hours, turn the away message on, and send yourself a test from another phone tonight. If it replies, you have stopped the bleeding on move one. Then write down, for three days, every time you type something you have typed before. That list is the real map of your week, and it is worth more than any tool you could buy this month.

Questions owners in Malta ask us

Does this work on the normal WhatsApp app?

No. Away messages are a WhatsApp Business feature. The Business app is free, and you can keep the same number, though moving a number across takes a few minutes and a backup.

Will customers realise the reply is automatic?

Some will, and it does not cost you anything. A dated, specific “we read everything at 09:00” reads as organised. Silence until Monday reads as closed for good.

Should I put my prices in the away message?

We would not. A price with no context invites a comparison you are not in the room for. Ask for what they need and when, and price it when you are talking to them.

What if the enquiry comes through Facebook or Maps instead?

Same principle, different switch. Facebook Pages and your Google Business Profile both have their own messaging settings, and each one needs its hours saved too. If Facebook is effectively your whole shop, start there rather than here.

Is an away message enough on its own?

For a quiet week, yes. For a week where you are typing the same quote twice, no. That is a process problem, and no setting inside WhatsApp fixes it.
