Missed calls in a small business in Malta: who hears what next

Missed calls in a small business in Malta are a two-sided problem, and most fixes only cover one side. Epic, Melita and GO can all tell you a call came in. Nothing in that chain tells the caller when they will hear from you, so they ring the next number on Google. The fix is to make the caller hear what happens next within minutes: a voicemail greeting that says when you call back, a one-line message the moment you see the missed call, and one fixed time in the day for callbacks.

The phone rings while your hands are busy. You see it an hour later. By then the caller has already booked somewhere else.

This happens in every studio, clinic and workshop we walk into. The owner is with a customer, the phone is face down on the counter, and a new customer is ringing out. Nobody did anything wrong. The call simply landed in the middle of the job.

Why missed calls cost a small business more than they look

A missed call is not a lost call. It is a caller who is still waiting, with nothing to wait for. They do not know if you saw it. They do not know if you will call back today, or at all.

So they do the sensible thing. They go back to the search results and ring the next one. Whoever picks up first gets the booking. That is the fourth of the Four Moves we see in every small business: the lead goes to whoever answered first.

What Epic, Melita and GO already do for you

All three Malta mobile operators already have a way to tell you about a call you missed. Most owners never switch it on, or never read the SMS it sends.

Every one of these is useful. And every one of them sends the message to you. The person who rang gets nothing. That is the gap this post is about.

The Other End Rule

We call it the Other End Rule: a missed call is only handled once the person at the other end knows what happens next. Knowing it came in does not count. Seeing it in your call log does not count. The caller has to hear or read something that tells them to wait for you.

Test your own set-up against it. Ring your business from a friend’s phone and let it go unanswered. Whatever you hear and receive in the next ten minutes is exactly what your customers get. For most owners the answer is a generic greeting and then silence.

Three fixes you can make today, without any software

Do these in order. Each one is free and takes less than fifteen minutes.

1. Rewrite your voicemail greeting

The default greeting asks for a message and nothing else. A lot of people hang up at the beep. Give them a reason to wait instead. Something like:

“You’ve reached [business]. We’re with a customer right now. We return calls at 13:00 and 18:00. If it’s quicker, send us a WhatsApp on this number and we’ll reply between appointments.”

Only mention WhatsApp if the number they called is also your WhatsApp Business number. A promise they cannot use is worse than none.

2. Send one line the moment you see it

Between customers, open the missed call and send a short WhatsApp to that number. Do not explain, do not apologise at length. Save it as a quick reply so it takes three seconds:

“Hi, this is [business], sorry we missed your call. We’re with a customer. Can you tell us what you need here, or shall we ring you at 13:00?”

It is the same shape as the Three-Line Reply: say what you can do, ask the one thing you need, give them a time.

If you see it while it is still ringing, decline it with a message. On an iPhone that is the Message button on the incoming call screen. On most Android phones it is a quick response on the same screen. Edit the saved texts once so they sound like you.

3. Pick one callback time and keep it

Callbacks done “when I get a minute” get done at 21:00 or never. Choose one or two fixed gaps in your day, the dead hour after lunch works in most studios, and call everyone back then. Label each unanswered caller in WhatsApp Business as “Call back” so the list is waiting for you, not rebuilt from your call log.

What automation adds on top

The three fixes above still need you to touch the phone. Automation removes that step. The caller gets a message within a minute of ringing out, while you are still with the customer in front of you.

It works through the same mechanism the operators already use. Your phone has a setting to divert calls you do not answer. Epic and Melita use that divert to catch the call for voicemail or a notification. A missed call text back uses it to send the caller a message and put the call on your callback list.

We only set this up after the three fixes are in place. If the greeting is vague and callbacks happen at random, an automatic message just delivers the same confusion faster. Fix the routine first, then automate the part that still depends on your thumb.

One thing to do today

Ring your own number from someone else’s phone and let it ring out. Listen to your greeting. Then rewrite it so it says when you call back. Ten minutes, nothing to buy, and every caller from tomorrow knows to wait for you.

Can my mobile text back automatically when I miss a call?

Not reliably on its own. Declining with a message works while the phone is ringing, but it needs your thumb. A real text back needs the unanswered call to pass through something that replies for you, set up with a divert on no answer.

Does my operator already tell me about missed calls?

Yes. Epic sends an SMS with the caller’s number when a call hits voicemail, message or no message. Melita and GO both run a missed call notification service. All of them tell you. None of them tells the caller.

Is voicemail enough for a small business?

Only if the greeting says what happens next. A greeting that just asks for a message loses everyone who hangs up at the beep.

Should I call back or send a WhatsApp?

Both, in that order. A short WhatsApp holds the caller the moment you see the missed call. The call can wait for your next free gap.

How quickly should I return a missed call?

Faster than the next business on their list. One line in the first few minutes keeps you in the running until you can talk properly.
