Three replies, not one
Most owners save one all-purpose reply, use it twice, and go back to typing. It does not survive contact with a real inbox, because the three messages you actually send are different jobs.
- A first enquiry. You can do it, you need one more detail, and you will come back with times.
- A hold. You cannot answer properly yet. This is the one that keeps you in the running while you check.
- A no. You are not taking it. This one still needs writing, and almost nobody has it saved.
All three are the same shape, which we call the Three-Line Reply. Line one says what you can do. Line two asks for the one thing you still need. Line three gives them a time.
Why the hold is the one that wins jobs
Your customer messaged four businesses on the same evening, because that costs them nothing. So you are not being judged against the studio down the road on work. You are being judged on who was there while they were still deciding.
A short holding reply sent now beats a complete reply sent tomorrow. Most owners get this backwards, because a half answer feels unprofessional. It is not. It is the difference between being in the running and not.
Why a no gets a template too
The no is the message people leave unanswered, because writing it feels worse than ignoring it. It is the wrong way round. An unanswered enquiry is remembered. A straight no with a date and a name to try instead takes eleven seconds and comes back later as a referral.
What these replies leave out
Four things make a first reply slower and weaker, and they are the four that feel professional:
- The price. Promise it with a time instead. A number with no context invites a comparison you are not in the room for.
- The apology. “Sorry for the late reply” tells them you are slow. They had not noticed until you said it.
- The full menu. Everything you offer is a brochure. They asked about one thing.
- A link to a form. You are asking someone to do admin in order to give you money. Ask the one question instead.
Save them as shortcuts, then stop typing
Quick replies live in the same Tools tab of the WhatsApp Business app as away messages. Add each of the three, give it a short shortcut, and you can fire it with a slash instead of retyping it. Read them once a month and cut whatever you never send.

When saved replies stop being enough
If you have written the same quote forty times this month, that is not a typing problem. A small business week leaks in a pattern: a message lands mid-job, the thread gets rebuilt from memory the next morning, the same quote gets typed twice, and the lead goes to whoever answered first. Shortcuts help with the third one. They do not fix it.
Our rule is never automate chaos. Diagnose where the enquiries actually go, put the right answer in your own words, make it happen the same way every time, and only then bring anything clever near it. Most of the time back arrives at step three, before anything clever happens.

Why does this give me three replies instead of one?
Because one reply for everything is the reason people stop using their saved replies. Keep one per situation: a first enquiry, a hold for when you cannot answer properly yet, and a no. Three shortcuts cover almost every message you get.
What should a first reply to an enquiry say?
Three things, in this order. What you can do. The one thing you still need to know. When they will hear back. Send it before you have worked the detail out, because the first useful answer usually takes the job.
How do I save these in WhatsApp?
Quick replies live in the same Tools tab of the WhatsApp Business app as away messages. Add each message, give it a short shortcut, and you can fire it by typing a slash and the shortcut instead of retyping.
Should I put a price in the reply?
Not in the first one. Say you will come back with a price and give a time for it. A number sent before you understand the job gets compared against someone else's number for a different job.
Is it rude to send a template?
Only if you send it and stop. The three lines are a starting shape, not a script. You still name the person and answer what they actually asked, which takes about ten seconds on top.
What do I write when the answer is no?
The same three lines. What you cannot do, when you could instead, and where else they might look. A clean no today is worth more than a maybe that never lands, and it is most of where referrals come from.
