WhatsApp appointment reminders in Malta come down to two working options today, not three. By hand, off a label in the WhatsApp Business app, costs nothing and works this afternoon. The Platform, which people call the API, sends an approved utility template on its own and Meta charges per message. The middle option every article recommends, a scheduled Business Broadcast, is not on Maltese numbers: we checked a +356 business account on 22 September 2026 and it is not in the app. So studios and clinics here stay on the first option far longer than the internet suggests.

The empty chair is not a booking problem. It is a reminding problem, and it has a ladder.

Someone books on Tuesday for the following Thursday. Nine days pass. On the day, the slot is empty, the hour is gone, and it was sellable right up until about lunchtime. Nobody was rude. They just forgot, and nothing in your week was built to stop that.

Why the app will not do it by itself

This is the part that surprises owners, so it is worth being blunt about it. The WhatsApp Business app does have automatic messages. It has a greeting message, an away message and quick replies. Every one of them is reactive: it fires because a customer wrote to you first.

A reminder is the opposite motion. It has to leave your phone when nobody has written, about something agreed nine days ago. There is no rule in the plain app that says “tomorrow at 17:00, message everyone in Thursday”. That gap is the whole reason this page exists.

The away message and greeting are still worth setting properly - they cover a different leak, the one described in the after-hours note. They just will not remind anyone of anything.

The Reminder Ladder

Three rungs. Stand on the lowest one that actually holds your week, and only climb when that rung visibly breaks. We call it the Reminder Ladder because owners keep starting at the top, buying a system for eleven appointments a week.

The catch, if you are reading this from Malta: the middle rung is missing here. That is not a detail you will find in the articles written for everywhere, so it gets its own section below.

Rung one: by hand, off a label

Free, available today, and enough for most single-chair businesses. In the WhatsApp Business app, label the chat when you take the booking. Save the reminder as a quick reply so you are not writing it fresh each time. Then pick one fixed moment in your week - the dead hour, the end of the last treatment, whenever you are already sitting down - and send the next day’s reminders in one pass.

Eleven messages takes about four minutes. The cost of rung one is not the typing. It is that it depends on you remembering, so it fails on exactly the weeks you are busiest, which are the weeks an empty chair hurts most.

Rung two: a scheduled Business Broadcast, which Malta does not have yet

This is the rung most articles send you to, and on a Maltese number it is not there. We checked a +356 WhatsApp Business account on 22 September 2026 and the feature does not appear in the app. WhatsApp describes Business Broadcasts as available to eligible users in select countries, and Malta is not currently one of them. We do not know Meta’s reason and will not guess at one.

Worth knowing what you are missing, because it is the rung that would suit a small studio best when it arrives. Business Broadcasts send a private one-to-one message to many people at once rather than a group. They reach people who have not saved your number. They can be scheduled for a chosen time. And they can carry action buttons such as Book or Call, so the reply is a tap instead of typing.

In the meantime, do not fall back on the old broadcast list as a substitute. It only delivers to people who have your number saved in their phone, and most customers do not. There is no failure message either. An owner sends to a list of forty, sees nothing go wrong, and has no idea that most of it went nowhere. For reminders that is worse than sending nothing, because you think the job is done.

So the ladder is really two rungs on this island today, and the step between them is a real one. Check your own app now and then, in case this changes.

Rung three: an approved utility template

This is the WhatsApp Business Platform, and it is the rung where the reminder leaves without anyone touching a phone, usually triggered by your booking calendar.

Two rules decide whether it suits you. Outside an open conversation, the Platform can only send a message template, and templates are categorised as marketing, utility or authentication. An appointment reminder is a utility template, which means it has to be written and approved before it can ever send. You cannot improvise the wording on the day.

The second rule is friendlier than people expect. When a customer replies, that opens a 24-hour customer service window, and inside that window ordinary back-and-forth messages are not charged. So the reminder is the paid part. The conversation it starts is not.

On price: Meta charges per delivered template message, and the rate depends on the template category and on the recipient’s country calling code. Meta can also update those rates on 1 January, 1 April, 1 July and 1 October. Any euro figure printed on this page would be wrong by spring, so ask your provider for the current rate for Maltese numbers in writing. What a reminder has to contain

The rung decides how it sends. This decides whether it works. Five parts, and the fifth is the one people leave out:

  1. The day and the time, written out. Not “tomorrow”, which breaks if they read it at midnight.
  2. What the booking is for, so a person with three things in their week knows which one this is.
  3. Where you are, in a form that opens in Maps. Half of Malta’s addresses are a building name and a hope.
  4. How long it takes, if that affects whether they can make it.
  5. One clear way to change it, in the same message.

Point five is the whole return on doing any of this. A reminder that only confirms saves you nothing - the people who were coming were coming anyway. A reminder that makes it easy to move the slot turns a silent no-show into a Tuesday afternoon cancellation, and a Tuesday afternoon cancellation is an hour you can still sell.

Keep it short and do not apologise for sending it. No “sorry to bother you”. You are confirming a thing they asked for.

Never automate chaos

If the bookings themselves live in three places - a paper book, a chat, and your memory - no rung on the ladder saves you. An automatic reminder built on a shaky list sends confident wrong messages faster, and it does it where you are not watching.

So the order stands. Diagnose where your next two weeks of bookings actually live. Articulate what a reminder from you says. Systemize it as a quick reply and a label. Only then AI, and only if rung one is genuinely failing.

One thing to do today

Count the no-shows in your last four weeks. Write the number down. If it is under two, you have a rung-one problem and four minutes a day fixes it - open the app and save the reminder as a quick reply now. If it is more, the gap is worth measuring properly before you buy anything, and the first thing to check is whether those people were reminded at all.

Do I need the WhatsApp API to send reminders?

Only when the reminder has to go out on its own, at volume, from your booking system. In Malta that is a sharper choice than elsewhere, because the middle option is missing: it is hand-sending or the Platform, with nothing between them.
