WhatsApp Business for makeup artists in Malta: the Date Hold
By Lucas · Malta Automations, St. Paul’s Bay · · 7 min read

WhatsApp Business for a makeup artist works when every date in the diary has exactly one name on it, and a time when that name runs out. I call that the Date Hold, and it has three parts. A greeting message asks every new enquiry for the date first. A date is held for one person, with a deadline written into the message. And a booking only counts once the deposit has landed and the whole day is written back to the bride in one pinned message. It all runs on the free app.
It is Saturday, 06:15, in a bridal suite in Mellieħa. You are halfway through the bride’s mother, brush in one hand, and the phone on the dressing table lights up. “Hi! Are you free on 11 September next year?” You glance at it, think “I think so”, and go back to the eyeliner.
On Monday you open the chat to reply and find a second message under the first: “No worries, found someone.” Two chats down there is another bride who asked about the same Saturday last week. You told her you would check. You never wrote it anywhere. Now you are not sure whether 11 September is free, promised, or both.
Why a makeup artist’s WhatsApp leaks
A makeup artist sells dates, and dates are sold once. A haircut slot on a Tuesday comes back next Tuesday. A wedding Saturday in September does not. The enquiry usually arrives months ahead, often while you are working on someone else’s face, and the only thing it really asks is “is that day still yours to give?”.
That is two of what I call the Four Moves at once: the message that lands mid-job, and the lead that goes to whoever answered first. Add a third that is particular to your work: the same date half-promised to two people, because the promise lived in a chat and not in the diary.
The Date Hold: three parts
The Date Hold is a short routine. Each part is a message you write once and reuse, so the answer to “are you free?” is the same on a quiet Tuesday as it is at 06:15 in a bridal suite.
- A greeting that asks for the date first. Every new enquiry gets the same reply by itself, with the four facts you need before you can say yes.
- A hold with a deadline. A free date is held for one name, until a stated day and time. The hold is written in your diary before it is offered in the chat.
- Booked means two things. The deposit has landed, and the whole day is written back to the bride in one pinned message. Until both are true, the date is a hold, not a booking.
Part one: a greeting that asks for the date first
Part one takes the first reply off your hands while they are full. WhatsApp sends the greeting message by itself when someone writes to you for the first time, or after 14 days with no activity in their chat. To set it up in the WhatsApp Business app: open the Tools tab, tap Greeting message, turn on Send greeting message, edit the text, choose Recipients, then Save.
Hi, thanks for messaging. I am often with a client, so I reply between appointments. To check if I am free, please send me: the date, the venue or locality where you are getting ready, how many people need makeup, and the time you need to be ready by. I will come back to you with an answer for that date.
Four facts, one message, and the date comes first because it is the only one that can end the conversation. The venue tells you about travel: a hotel in St Julian’s and a farmhouse in Għarb are not the same morning. The number of people tells you how long you need. The ready-by time is the one people forget, and it is the one your whole morning is worked back from.
Notice what is not in the greeting: a price. Someone who opened with “how much?” still gets the four questions, because the honest answer depends on them. How to give a price once you have the facts, without a list and without a guess, is in the Price Shelf.
Two settings that silence the greeting
- Recipients set too narrowly. A past client whose number you saved, writing about her sister’s wedding, is skipped if you chose Everyone not in address book. Choose Everyone unless you have a reason not to.
- Meta Business Agent connected. WhatsApp switches greeting messages off when it is on. If your greeting stopped working, check this first.
Work the morning back from the ready-by time
Once the four facts are in, the start time is arithmetic you already know. Take the ready-by time, take off your own time per face for each person, take off the drive, and that is when you leave home. If the answer is 04:30, say so now, in writing, not on the Friday before. A bride with six bridesmaids and a 10:00 photographer would rather hear it in February.
Part two: a hold with a deadline
Part two is the heart of the Date Hold. A free date is never “I think so”. It is held, for one name, until a stated day and time. The order matters: you write the hold in your diary first, then you offer it in the chat. If the diary and the chat ever disagree, the diary wins.
Good news, Saturday 11 September is free. I can hold it for you until Thursday 5 November at 18:00. If you want to book it, I will send you the deposit details. If I do not hear from you by then, I will release the date.
In the diary, the same Saturday reads: HOLD, Maria, until Thu 5 Nov 18:00. Pick one length of hold and use it every time. The number of days is your call. What matters is that the bride sees an exact time, and that you see the same time when you open the diary.
Save the wording as a quick reply. In a chat, type / and your saved replies come up. The app holds up to 50. To add one: Tools tab, Quick replies, tap the plus, write it, set the shortcut, Save. Yours might be /hold, and you fill in the date and the deadline each time.
When a second bride asks for a held date
This is the moment the routine is built for. Someone else asks about 11 September while Maria’s hold is still running. You do not hint, and you do not start a race. You tell her the truth in one message.
Saturday 11 September has a hold on it until Thursday 5 November at 18:00. If it frees up, you will be the first person I message. If you would like me to, I will also send you the dates around it that are still open.
Then keep the promise. Write her name under the hold in the diary: next: Daniela. If Maria’s deadline passes with no deposit, you message Maria that the date is released, and you message Daniela the same minute. One hold, one name next in line, nothing left to memory.
Three labels, not one per date
Labels sort the chats so you can see who is waiting on what. Open a chat, tap the three dots, Label chat, and make three: Hold, Booked and Next in line. The app allows up to 20 labels, so a label per wedding date runs out fast; the date itself lives in the diary. Meta is gradually turning labels into lists, so the menu may read Lists on your phone. Sorting chats by whose move it is, so a bride who owes you an answer does not look like one waiting on you, is in Whose Move.
Part three: booked means two things
Part three closes the hold. A date becomes a booking when two things are true: the deposit has landed, and the whole day has been written back to the bride in one message she can check. Until then, it stays a hold, with its deadline.
The deposit is a line, not a chase. In Malta most small payments go by Revolut or bank transfer, and the person paying sends a screenshot. Check that the money is in your own banking app before you change anything. The screenshot says they pressed send. Your app says it arrived. Why a deposit works, and when to ask for one, is in the Three Guards.
Write the day back, in one message
Once the deposit is in, write the whole booking back in one message and ask her to reply that it is right. A reply to that message can only mean the details are right. A thumbs-up can mean anything.
Booked: Saturday 11 September. Getting ready at your hotel in Mellieħa, room number to follow. Makeup for 5: you, your mum and three bridesmaids. You need to be ready by 11:00, so I will arrive at 07:00. Trial on a weekday in July, date to be set. Deposit received. Please reply that this is right, or send me what to change.
Change the diary from HOLD to BOOKED the moment she confirms, and move the chat to the Booked label. A change later, a sixth face or a new venue, is a new written-back message, not an edit in your head.
Pin it when the questions start
A pinned message sits at the top of the chat, where neither of you has to scroll for it. Open the message, hold it, tap Pin, and choose how long it stays: 24 hours, 7 days or 30 days. A wedding is usually further away than that, so pin the booking message in the last month, when the questions about times and rooms begin. Then pin it again for the final week. The bride, her mum and you are all reading the same message. For planners who run the whole day across many suppliers, the same idea at a larger scale is the Latest Pin.
On the morning itself
On a wedding morning, the phone is a clock and one chat. Everything else waits. Before you leave the house, turn on the away message: Tools tab, Away message, turn on Send away message, set the schedule, Save.
Thanks for your message. I am with a bride this morning and back on my phone after 13:00. If you are asking about a date, send me the date, the venue, how many people and the ready-by time, and I will reply this afternoon.
The away message sends from your phone, so the phone has to be online, even face down in the kit bag. And the away message does not know you are at a wedding. You turn it on and off yourself, or schedule it for the hours you will be working.
What the free app will not do for a makeup artist
The WhatsApp Business app carries messages. It does not keep your diary. Four limits to know before you blame yourself:
- No diary and no timer. A hold does not run out by itself. The deadline is a line in your diary, and the release message goes out by hand.
- No reminders on its own. The “your trial is on Thursday” line goes out by hand or from a quick reply. The options for sending messages on a schedule, and which of them work on a Maltese number, are in the Reminder Ladder.
- Everything sends from the phone. Greeting and away messages need that device online.
- No scheduled sends on a +356 number, as far as I have seen. Business Broadcasts were not available on the Maltese number I checked in September 2026, so a “I have two Saturdays left in June” message to past enquiries goes out by hand, one chat at a time, or not at all.
If you are wondering whether the paid Platform would fix this, read the app versus the API first. One person booking dates from one phone does not need it to run the Date Hold. The wider picture of what WhatsApp automation in Malta can and cannot do is in that post.
Never automate chaos
None of this helps if the diary is wrong. If next September lives half in a paper diary, half in your phone calendar and half in chats you cannot find, a faster greeting only brings in more enquiries for dates you cannot answer. Put every date in one diary first.
So the order stands. Diagnose where the date breaks: the “I think so” you sent from a bridal suite, the second bride you forgot, or the deposit you assumed had arrived. Articulate the three messages in plain words. Systemize them in the app. Only then AI, and only once the habit holds by hand.
One thing to do today
Open your diary and find every date you have half-promised to someone in a chat. Give each one a name and a deadline, and send that bride the hold message tonight. Then write the greeting with the four facts and turn it on. One evening, and next season’s Saturdays each have exactly one name on them.
Questions makeup artists ask me
Is WhatsApp Business free for a makeup artist?
Yes. The WhatsApp Business app is free, and the greeting message, away message, quick replies, labels and pinned messages come with it. A makeup artist booking brides and events from one phone does not need the paid WhatsApp Business Platform to run the Date Hold.
How long should I hold a wedding date for a bride?
Long enough for her to talk to whoever pays, short enough that you are not turning away a second bride for a date nobody has paid for. Pick one number of days, put it in the message that offers the hold, and write the exact day and time it runs out. The number matters less than saying it every time.
What do I say when two brides ask for the same date?
The truth, in one message. The date has a hold on it until a stated day and time. If it frees up, you will message her first. Then do exactly that, the minute the hold runs out. No bidding, no hinting that she should pay faster.
Should I put my prices in the WhatsApp greeting?
No. The honest price depends on the date, the venue, how many faces and how early you start, so the greeting asks for those first. Someone who opened with how much still gets the questions, and a real answer once they reply.
Can WhatsApp Business release a held date by itself?
No. The app has no diary and no timer. The hold and its deadline live in your diary, and the release message goes out by hand from a quick reply. The free app saves the typing, not the remembering.
How do I answer messages on a wedding morning?
Switch on the away message before you leave, with the time you will be back on the phone. On the morning itself, the only chat you open is the one with that bride. Everyone else gets the away message, and a real reply after the last face is done.
If the date promised twice is the part that costs you
I built this because I was sick of rebuilding yesterday’s messages from memory. I go into small firms across Malta and Gozo, shops, studios, clinics and beauty businesses among them, find the one process that is already eating the week, and take it off the owner.
Message me on WhatsApp and tell me which part leaks for you: the enquiry answered from a bridal suite, the date you are not sure is free, or the deposit nobody chased. No slides, no PDF from abroad, and nothing to buy on the call. If I can help, I will. If I cannot, I will say so.
