Yours to decide

  • Name one thing they mentioned, in their words. It shows a person read it.
  • Leave out anything they did not say, such as a discount or a next visit offer.
  • Keep it short. A long reply to a short review reads like a script.

What these replies do and do not do

Each reply is a template we wrote by hand. You choose the kind of review, and the tool fills in your business name, your first name and one detail. There are at least two wordings for every situation, so two replies on the same day do not sound identical.

The replies keep to five rules. They never argue. They never state a fact you did not give them. They never offer money or a promise you did not type. They never use the reviewer’s name. They say sorry once, and only when it is called for.

Why the reply is written for the next reader

The person who wrote the review will read your answer once. The next customer, deciding where to book, will read it for months. Your reply is the only place they see how you behave when something goes wrong.

So a calm, short reply to a bad review often helps you more than a five-star one does. It tells a stranger that if their visit goes wrong, someone will listen.

The five situations

Five stars with a comment

Name one thing they mentioned, in their words, and stop. Thank them, say you hope to see them again, and leave out offers.

Five stars with no text

Two short lines. There is nothing to answer, so do not make something up. Only mention their visit if you truly remember it.

Four stars with one small complaint

This is the easiest low review to lose. Say what they said, plainly, and do not explain it away. If you changed something because of it, say so in one sentence.

One or two stars about something real

Do not argue, and do not explain. Say sorry once, ask them to contact you directly, and move the rest to a private message. A refund or a free visit belongs there, not on Google.

One or two stars that sound like a mistake

Check your bookings first. If it clearly was not you, say the details do not match and invite them to get in touch. Never call anyone a liar. A calm reply lets the reader decide.

Questions owners ask us

Should I reply to every Google review?

Yes, if you can keep it short. A reply to a five-star review takes a minute and shows a person is reading. The ones that matter most are the low ones, because the next customer reads your answer before they read the complaint.

How long should a review reply be?

Between 25 and 60 words. Long enough to name one thing they said, short enough to read on a phone. Long replies to bad reviews sound defensive, even when they are polite.

Should I say sorry to an unfair review?

Once, for how it felt, and only if it was your visit. If the review sounds like another business, do not apologise. Say the details do not match, invite them to contact you, and check the review before you post.

Can I offer a refund or a free visit in the reply?

Not in public. A public offer teaches other guests that a complaint pays. If you decide to make it right, do it in a private message, once you have heard the whole story.

Do you store what I type into this tool?

No. The reply is put together in your browser from templates we wrote by hand. Nothing is sent anywhere, and nothing is saved when you close the page.

Can I report a review that is not real?

Yes. From your Google Business Profile you can flag a review that breaks Google's rules. Reply politely as well, so a reader can see you handled it calmly while you wait for Google.
