Should I use my personal WhatsApp for business? The Number Stays Rule

Should I use my personal WhatsApp for business? The Number Stays Rule. From Malta Automations.

You can run a business on your personal WhatsApp, but it stops working once customers and family share one chat list. The fix is free. Move the number your customers already have to the WhatsApp Business app, and give your private life the new number. I call this the Number Stays Rule: the number stays with the customers, because they saved it on their phones, on your van and on Google. Take a backup first, and save your WhatsApp contacts to your phone’s address book, or you lose them.

Sunday, 20:15. Your phone buzzes six times. Four are the family group. One is your cousin. One is a customer asking if you can come on Tuesday.

You read it, you mean to answer after dinner, and by Monday it sits under forty new messages about a birthday cake. Nobody did anything wrong. The customer simply landed in the same list as your life.

Can I use my personal WhatsApp for business?

Yes, you can use personal WhatsApp for business, and plenty of small firms in Malta start exactly that way. It works while the customers are few. It breaks when you need one of three things the personal app does not have.

That last one is the first of what I call the Four Moves: the message lands mid-job. A personal number makes it worse, because the job and the family arrive in the same place.

What WhatsApp Business adds on the same number

The WhatsApp Business app is free and looks the same to your customer. They still write to the same number in their normal WhatsApp. On your side, you get:

I run my own +356 number on the Business app. The customer side looks the same as any chat.

The Number Stays Rule

The Number Stays Rule says: the number your customers already have stays with the customers. It moves to WhatsApp Business. Your private life is the part that gets a new number.

The tempting move is the other way round. You buy a new SIM for the business and keep the old number private. Then the old number keeps getting customer messages for years, because it is saved in your customers’ phones, printed on the van and listed on Google.

  1. Count where the number lives. Your Google profile, Facebook page, van, shop window, business cards, old invoices. If it is on more than two of these, it is the business number.
  2. Move that number to WhatsApp Business. Same number, new app.
  3. Give your private life the new number. Tell family and friends once. They will read your message and save the new number. Most customers will not.

The rule has one exception. If your customers only ever had your landline or a separate work mobile, that number is the business one, and your personal WhatsApp can stay as it is.

Will I lose my chats if I switch to WhatsApp Business?

You should not lose your chats, but take a backup first. WhatsApp itself recommends a backup before the move. On Android, the Business app asks you to Allow access to your chat history and media during the switch. On iPhone, the help page does not spell that step out, so back up and check your chats before you delete anything.

The trap is WhatsApp contacts, the ones you saved inside WhatsApp rather than in your phone. The Business app does not support them yet, and they are lost in the move. Before you switch, open WhatsApp settings, turn off WhatsApp contacts and choose to save them all to your phone’s address book.

How to switch, step by step

Switching to WhatsApp Business takes about ten minutes if the backup is already done.

  1. Back up WhatsApp and save your WhatsApp contacts to the phone’s address book.
  2. Update WhatsApp, then download WhatsApp Business from the App Store or Google Play.
  3. Open it and tap Agree and continue after reading the terms.
  4. The app finds the number you use in WhatsApp. Tap it. If it shows the wrong number, tap Use a different number.
  5. On Android, tap Continue, then Allow, to bring your chat history and media across.
  6. Enter the six-digit code WhatsApp sends by SMS.
  7. Fill in your business profile: name, hours, address. Then set the greeting and away messages.

A greeting worth copying: “Hi, thanks for your message. I am usually on a job, so I reply between [time] and [time]. Tell me what you need and the day that suits you, and I will come back to you today.”

Where your private life goes

Your private WhatsApp goes on a second number. The two apps are separate, so one phone can hold both, one number each.

The honest downsides of WhatsApp Business

WhatsApp Business is a better place to answer from. It does not answer for you. Four limits to know before you switch:

If you are weighing the free app against the paid Platform, that is a different question. I compare them in WhatsApp Business app vs API.

Malta notes for the switch

Never automate chaos

Switching apps is not the fix by itself. If customers still wait two days because you read WhatsApp only at night, the new app just holds the same delay in a nicer frame.

So the order stands. Diagnose where messages get lost today: under family chats, after hours, or mid-job. Articulate when you answer, in one line for the greeting. Systemize it with the profile, the away message and a few quick replies. Only then AI, and only once the habit holds by hand.

One thing to do today

Open WhatsApp settings and save your WhatsApp contacts to your phone’s address book. Then run a backup. That is ten minutes, it costs nothing, and it is the step that makes the switch safe whenever you choose to do it.

Questions owners ask me about personal WhatsApp for business

Can I use my personal WhatsApp for business?

You can, and many small firms start that way. It stops working once customers and family share one chat list, because you cannot sort them, you cannot set hours, and nothing answers while you work. The free WhatsApp Business app fixes those three things on the same number.

Should I use normal WhatsApp or WhatsApp Business?

Use WhatsApp Business for the number your customers write to. It is free, it looks the same to the customer, and it adds a business profile, a greeting message, an away message, quick replies and labels. Keep normal WhatsApp for a private number.

Will I lose my chats if I switch to WhatsApp Business?

Take a backup first, because WhatsApp recommends it. On Android the Business app asks for access to your chat history and media during the move. The real trap is WhatsApp contacts: they are not supported in the Business app and are lost, unless you first save them to your phone's address book.

Can I use the same number on WhatsApp and WhatsApp Business?

Not at the same time. They are two separate apps and one number can only run in one of them. You can move between them, but Business features such as your catalogue do not come back with you to normal WhatsApp.

Can I have WhatsApp and WhatsApp Business on one phone?

Yes, if you have two numbers. Many phones take two SIMs, or a SIM and an eSIM. Put the customer number in WhatsApp Business and the private number in normal WhatsApp.

Can I put WhatsApp Business on a landline?

Yes, on a fixed number you own. During registration, tap Call me and an automated call reads you the six-digit code. Extension numbers, VoIP, toll-free and premium numbers cannot be registered.

What are the disadvantages of WhatsApp Business?

It does not answer for you. Quick replies still need you to press send, and the greeting and away messages only cover first contact and closed hours. Your phone still has to be online for those automatic messages. And if you move your number, your friends get the new private one.

If your customers and your family share one phone

I built this because I was sick of rebuilding yesterday’s messages from memory. I go into small firms across Malta and Gozo, shops, studios, clinics and trades among them, find the one process that is already eating the week, and take it off the owner.

Message me on WhatsApp and tell me how your number is set up today: one phone for everything, two numbers, or a landline nobody answers. No slides, no PDF from abroad, and nothing to buy on the call. If I can help, I will. If I cannot, I will say so.
