WhatsApp Business for car rental in Malta: the Rental Thread
By Lucas · Malta Automations, St. Paul’s Bay · · 7 min read

WhatsApp Business for a small car rental firm works when every booking lives in one thread from the first enquiry to the returned keys. I call that the Rental Thread, and it has three parts. Five facts are asked before any quote. One pinned message holds the booking summary. And the same photos are sent at hand-over and at return. It all runs on the free app.
It is 22:40 on a Thursday. A message from a number starting +44: “Hi, do you have an automatic for 5 days from Saturday? Can you meet us at the airport?”
You read it the next morning, in the car park, with a customer waiting for keys. You reply at 09:15. They booked someone else at 23:10. The enquiry did not fail on price. It failed on timing, and on the five things you needed to know and had to ask one by one.
Why a rental firm’s WhatsApp leaks
A rental firm’s WhatsApp leaks because the customer is a stranger in a different time zone, the car changes hands in minutes, and the proof of its condition lives in nobody’s head. Late enquiries go to whoever answered first. Hand-over details get lost between messages. And a mark on a bumper becomes a disagreement a week later.
It touches the first and fourth of what I call the Four Moves: the message that lands when you cannot answer, and the lead that goes to the first reply. The fix is not a bigger system. It is keeping each rental in one place.
The Rental Thread: three parts
The Rental Thread is a short routine: one chat per booking, and the chat holds everything the booking needs.
- Five facts before a quote. One saved reply asks them all at once.
- One pinned summary. Dates, place, pin, return rule. Pinned, so it is the first thing both sides see.
- The same photos, twice. At hand-over and at return, sent into the thread.
Part one: five facts before a quote
Part one stops the slow drip of questions that costs you the night. Instead of asking one thing, waiting, asking the next, you ask everything once. The customer answers in one message, and you can say yes, no or what is free.
To set up the greeting in the WhatsApp Business app: open the Tools tab, tap Greeting message, turn on Send greeting message, edit the text, choose Recipients, then Save. WhatsApp sends it by itself when someone writes for the first time, or after 14 days with no activity in their chat.
Hi, thanks for your message. I reply as soon as I am at the desk, usually within a couple of hours. To check what I have free, please tell me: pick-up date and time, return date and time, where you would like to collect and return the car, automatic or manual, and how many of you and how many bags.
Add to the list whatever your own conditions require, such as minimum age or how long the driver has held a licence. Say it in the greeting, so nobody spends a day on a booking that cannot happen.
Two settings that silence the greeting
- Recipients set to a narrow option. A tourist is not in your address book. Choose Everyone unless you have a reason not to.
- Meta Business Agent connected. WhatsApp switches greeting messages off when it is on. If your greeting stopped working, check this first.
The away message covers the night
The greeting handles the first message. The away message handles the hours you are not working: in Tools, tap Away message, switch it on and choose a schedule. Say when you reply and repeat the five questions, so the answers are waiting for you at 08:00. Both messages send only while the phone is online. The rest of the setup is in the after-hours post.
Fill in your Business profile as well: name, address, opening hours and website. A visitor who is about to send a deposit to a number on the internet looks for signs it is a real firm, and the profile is the first of them. If you keep your car classes in the Catalogue, with photos and names, they can see what you have before they write.
Part two: one pinned summary
Part two puts the whole booking at the top of the chat, once, so nobody scrolls. When the customer says yes, write the summary as one message and pin it. In a chat, press and hold the message, choose Pin, then pick how long it stays. WhatsApp lets you pin messages in a chat for a period you choose, so the booking stays on top until the car is back.
Booked: [car], [day] at [time] to [day] at [time]. Collection: [place]. Please send me a location pin of exactly where you will be, and I will pin it here. Return: [place] by [time]. Fuel and late return as in the agreement. If anything changes, tell me here and I will update this message.
Save it as a quick reply. In a chat, type / and your saved replies come up. The app holds up to 50. To add one: Tools tab, Quick replies, tap the plus, write it, set the shortcut, Save. A changed hand-over place is a new pin, never a new description. “By the arrivals door” is two different places at Malta International Airport, and a pin is one.
Part three: the same photos, twice
Part three ends the argument about a mark. At hand-over, before the keys move, take the same photos every time and send them into the thread: all four sides, the wheels, the windscreen, the dashboard with fuel and mileage. At return, take the same set again, in the same order.
Here are the photos of the car at hand-over. Please have a look and reply “OK” if you agree, or tell me what I missed.
The customer’s “OK” sits in the same thread, dated, under the photos. This does not replace the rental agreement, which is its own document. It is a plain record of the day the keys changed hands, and it settles most disagreements in a minute. Write the order of photos on a card in the glove box, so any member of staff takes the same set.
Licence and ID photos
A licence photo is personal data. Ask only for what your conditions need, say why, and do not leave it in a phone gallery. WhatsApp can save received photos to your gallery by default. In WhatsApp settings look for Save to Camera Roll on iPhone or Media visibility on Android, and check how it behaves on your phone. Your data protection duties are yours to confirm, and I am not giving legal advice.
The sweep, and the return
Handing keys across a counter and reading chats do not mix. Do a fixed sweep, then stop: ten minutes at opening, ten at midday, ten at close. Answer new enquiries first, because those are the ones that go elsewhere. Then tomorrow’s hand-overs, one short message each. Then returns.
- Label the thread by whose move it is. Open a chat, tap the three dots, Label chat. The app allows up to 20 labels, and Meta is gradually turning labels into lists, so the menu may read Lists on your phone. The method is in Whose Move.
- Send one return reminder the evening before. Time, place, fuel. It goes out by hand or from a quick reply.
- If two people answer, give each chat one owner. That setup is in One Chat, One Name.
When a customer asks “how much?” before the five facts, answer with the questions first. The thinking behind it is in how to reply to price enquiries. A price without dates is a guess, and the customer compares guesses.
What the free app will not do for a rental firm
The WhatsApp Business app carries messages. It does not run a fleet. Four limits to know before you blame yourself:
- No fleet calendar. It does not know which car is out. Availability lives in a calendar or sheet, and the chat confirms it.
- No reminders on its own. The day-before message goes out by hand. The options are on the Reminder Ladder.
- Everything sends from the phone. Greeting and away messages need that device online.
- No scheduled sends on a +356 number, as far as I have seen. Business Broadcasts were not available on the Maltese number I checked in September 2026, so a message to the whole list goes out by hand.
If you are wondering whether the paid Platform would fix this, read the app versus the API first. A small fleet does not need it to run the Rental Thread.
Never automate chaos
None of this helps without a fixed hand-over routine. A saved reply that says one thing on Monday and another on Friday only makes the confusion faster. If you cannot write your fuel rule, late-return rule and photo set in a few plain lines, write those first.
So the order stands. Diagnose where the week breaks: the enquiry at night, the hand-over, or the argument after. Articulate the rules and the three messages in plain words. Systemize them in the app. Only then AI, and only once the habit holds by hand.
One thing to do today
Write the five questions as a greeting message and switch it on before you close tonight. Then, at the next hand-over, take the same set of photos and send them into the thread. By the end of the week you will have used it, or you will know which part does not fit your counter.
Questions car rental owners ask me
Is WhatsApp Business free for a small car rental firm?
Yes. The WhatsApp Business app is free, and the greeting message, away message, quick replies, labels, catalogue and pinned messages all come with it. A small fleet taking bookings by chat does not need the paid WhatsApp Business Platform to run the Rental Thread.
What should I ask a customer before I quote a rental?
Ask five things: pick-up date and time, return date and time, where they want to collect and return the car, automatic or manual, and how many people and bags. Add whatever your own conditions require, such as minimum age or how long the driver has held a licence. With those answers you can say yes, no or what is free.
Is it safe to take a photo of a driving licence on WhatsApp?
A licence photo is personal data, so treat it that way. Ask only for what your conditions need, tell the customer why, and do not let it sit in your phone gallery. In WhatsApp settings, look for Save to Camera Roll on iPhone or Media visibility on Android. Check your own obligations under data protection rules, because I am not giving legal advice.
Do hand-over photos in a chat replace a rental agreement?
No. The agreement is a separate document. The photos in the thread are a dated record of what the car looked like when the keys changed hands, and they stop most arguments about marks before they start.
How do I handle customers writing from another time zone?
Set a greeting message that answers at once and an away message for the hours you are not working. Both tell the customer when you reply and ask the five questions, so the answers are waiting when you sit down to the sweep.
Can WhatsApp Business show which cars are free?
No. The app has no fleet calendar and does not know what is booked. Keep availability in a calendar or sheet and use the chat to confirm. The catalogue can show your car classes with photos, but it does not track dates.
If the late enquiry or the hand-over is the part that costs you
I built this because I was sick of rebuilding yesterday’s messages from memory. I go into small firms across Malta and Gozo, shops, studios, clinics and trades among them, find the one process that is already eating the week, and take it off the owner.
Message me on WhatsApp and tell me which part leaks for you: the enquiry that arrives at night, the hand-over, or the return. No slides, no PDF from abroad, and nothing to buy on the call. If I can help, I will. If I cannot, I will say so.
