WhatsApp Business for a cleaning business works when every clean lives in one message. I call that message the Job Card, and it has three rules. Ask five facts before you give a price. Write the booking as one message that the customer confirms and the cleaner receives, word for word. And when anything changes, send a new card instead of patching the old one. It all runs on the free app.

It is 21:40 and you are still answering. A host in Qawra writes: “Guest leaving at 11 not 10, new one arriving at 2, can you still do it?”

You reply “ok”. Tomorrow at 10 your cleaner is outside a flat with a guest still in it, reading a message you sent on Monday. The change was real. It just never reached the person holding the mop.

Why a cleaning firm’s WhatsApp leaks

A cleaning firm’s WhatsApp leaks because one job passes through three people. The customer books it, you agree it, and a cleaner does it. Every booking, change and key code has to travel from the first chat to the third. When it travels as fragments, something falls out on the way.

It is the second of what I call the Four Moves in its purest form: the thread rebuilt from memory. Only here it is the cleaner who has to rebuild it, and the cleaner was never in the original chat.

The Job Card: three rules

The Job Card turns every clean into one message that the customer, you and the cleaner all read the same way.

  1. Five facts before a price. The greeting and one saved reply ask for them, so the first answer is never a guess.
  2. One message is the job. The customer confirms it, and the cleaner gets the same message, forwarded and pinned.
  3. A change is a new card. You never patch a booking with “same as before but Thursday”.

Rule one: five facts before a price

Rule one turns “how much for a clean?” into something you can price. Most homes can be quoted from five facts:

WhatsApp sends the greeting message by itself when someone writes for the first time, or after 14 days with no activity in their chat. To set it up in the WhatsApp Business app: open the Tools tab, tap Greeting message, turn on Send greeting message, edit the text, choose Recipients, then Save.

Hi, thanks for your message. I’m out on jobs and reply in the evening, usually by 7. To quote, please send: flat or house and how many bedrooms and bathrooms, one-off, regular or a guest changeover, the day and time you want, how the cleaner gets in, and any extras like the oven or inside windows.

Then save the same five questions as a quick reply for the customer who skips the greeting and just asks for a price. In a chat, type / and your saved replies come up. The app holds up to 50. To add one: Tools tab, Quick replies, tap the plus, write it, set the shortcut, Save.

Two settings that silence the greeting

Rule two: one message is the job

Rule two puts the whole booking in one message. Not the price in one place, the time in another and the address in a voice note. One message, written so a cleaner who has never seen the chat can do the job from it.

Booked: Thursday 8 October, 10:00 to 13:00.
Where: Flat 4, [building], [street], Qawra. Pin below.
Access: key safe by the main door, code sent that morning.
Job: changeover, 2 bedrooms, 1 bathroom, kitchen, floors, bed linen changed.
Not included: oven, inside windows.
Price: [amount].
Does that all look right?

The customer confirms it. Then you forward that exact message to the cleaner doing the job, and pin it at the top of that chat. WhatsApp lets you pin up to four messages in a chat, for a period you choose. The cleaner opens the chat and the job is on top, not buried under photos of last week’s balcony.

Codes go to one person, on the day

The card says “code sent that morning”, not the code. A key safe code sits in one place only: the one-to-one chat with the cleaner doing that job, sent that day. Never in a group, never in the card the customer confirms. If a host can change the code between guests, ask them to.

Rule three: a change is a new card

Rule three is the one that saves the 10:00 disaster. When a customer changes anything, the time, the day, the extras, you do not reply “ok” and leave the old card standing. You send a new card.

  1. Copy the old card, change the line that moved, and send it to the customer.
  2. Forward the new card to the cleaner.
  3. Unpin the old card in the cleaner’s chat and pin the new one.

It costs a minute. In return there is one rule your team can hold: the card at the top is the job. A cleaner never has to scroll up and work out which of three messages is the real one.

If more than one person answers the customers, decide who owns each chat first, or two of you will each send a different card. I set that up in One Chat, One Name.

Short-let changeovers in Malta

Changeovers are where the Job Card earns its keep. A host’s day moves with flights, so times change late and often. If you clean for hosts around St Paul’s Bay, Qawra or Sliema who run several flats, each flat has its own key safe and its own habits.

What the free app will not do for a cleaning firm

The WhatsApp Business app carries messages. It does not run your rota. Four limits to know before you blame yourself:

Never automate chaos

None of this helps if the firm has no fixed answer to “what is included in a changeover?”. A card is only as good as the list behind it. If every cleaner does a different clean, a neater message will not fix it.

So the order stands. Diagnose where the job breaks: the vague first message, the missing detail, or the late change. Articulate the five facts and the card in plain words. Systemize them in the app. Only then AI, and only once the habit holds by hand.

One thing to do today

Tonight, take tomorrow’s first job and write it as a Job Card: when, where, access, job, not included. Forward it to the cleaner and pin it. In the morning, ask one question: did the cleaner need to open any other message to do the job? If the answer is no, the card works.

Is WhatsApp Business free for a cleaning business?

Yes. The WhatsApp Business app is free, and the greeting message, away message, quick replies, lists and pinned messages all come with it. A cleaning firm with a handful of cleaners does not need the paid WhatsApp Business Platform to take bookings and send job details.

What should I ask before I quote a clean?

Five things: what kind of place it is with the number of bedrooms and bathrooms, whether it is a one-off, a regular clean or a changeover between guests, the day and time window, how the cleaner gets in, and any extras such as the oven, inside windows, a balcony or pets. With those five you can price most homes without a visit.

How do I send job details to my cleaners on WhatsApp?

Is it safe to send a key safe code on WhatsApp?

Can WhatsApp Business schedule my regular weekly cleans?

No. The app has no rota and no recurring bookings, and it cannot send a reminder on its own. Keep the schedule in a calendar or on paper, and use WhatsApp to confirm each clean the day before by hand or with a quick reply.

What do I do when a host changes the time at night?

Do not reply 'ok' and leave the old card standing. Send a new Job Card with the new time, forward it to the cleaner, and pin it in place of the old one. The cleaner should only ever work from the card at the top of the chat.
