WhatsApp Business for a pool cleaning business in Malta: the Visit Note
By Lucas · Malta Automations, St. Paul’s Bay · · 7 min read

WhatsApp Business for a pool cleaning business works when the customer never has to ask whether you came. I call the routine the Visit Note, and it has three parts. The access details are pinned in the chat once. Every visit ends with one message: the day, what you did, a photo of the water. And when a visit has to move, you say so before the day, not after. It all runs on the free app.
It is Thursday afternoon and a customer writes: “Did you come today?” You did. You were there at ten, the pool is clear, the filter is clean. But the customer is at work and cannot see it, and nothing you left behind says so.
So you scroll back through a week of messages, find the gate code you were sent in March, and type out what you did from memory. The pool was fine. The question still cost you ten minutes, and it told you something: to this customer, a visit that leaves no trace did not happen.
Why a pool round leaks
A pool round leaks because the work happens when the customer is not looking. The customer is not home, the visit is over in forty minutes, and the only evidence is clear water that looks the same as it did yesterday. They ask, you answer, and the thread gets rebuilt from memory every time.
That is the second of what I call the Four Moves: the thread rebuilt from memory. The fix is not a faster reply. It is a message the customer already has before they think to ask.
The Visit Note: three parts
The Visit Note is a short routine for a recurring service: the access is written down once, every visit leaves a trace, and a change is announced before it happens.
- Pin the access. Gate, code, dog, who to call. Once, at the top of the chat.
- One note after every visit. Day, what you did, a photo of the water.
- Say first when it moves. A changed day is a message sent before the day.
Part one: pin the access
Part one stops you digging for the gate code. When a new customer says yes, ask for everything you need to get in without them, in one message: how to open the gate, any code, whether there is a dog, where the pump is, and a second number if they are unreachable. Then tap and hold their answer, choose Pin, and set how long it stays. WhatsApp lets you pin up to four messages in a chat for a period you choose, so the access details can sit at the top for as long as the longest option allows.
Welcome. So I can look after the pool without you being home, could you send me in one message: how the gate opens, any code, whether there is a dog, where the pump is, and a second number if I cannot reach you? I will keep it pinned here.
Save that as a quick reply. In the WhatsApp Business app: open the Tools tab, tap Quick replies, tap the plus, write the text, set a shortcut, Save. In a chat, type / and your saved replies come up. The app holds up to 50.
Part two: one note after every visit
Part two answers “did you come?” before anyone asks. Take one photo of the water before you leave, then send one message from a quick reply. It takes thirty seconds and it is the only evidence the customer will ever see.
[Photo] Visit done today, [day]. Cleaned the skimmer and the filter, brushed the walls, checked the water. All clear. Next visit [day].
The last line matters most. When the next visit day is in every note, the customer never has to ask when you are coming, and you have a reminder in the chat history for free. Change the middle sentence for what you really did, and never write a note for a visit you skipped.
Setting the greeting for the new enquiry
A pool customer is often a new enquiry first, sent while your hands are wet. Turn on the greeting message so they get an answer anyway. Tools tab, Greeting message, turn on Send greeting message, edit the text, choose Recipients, Save. Ask in it for the address, the pool size roughly, and a photo of the pool as it is now. WhatsApp switches greeting messages off when Meta Business Agent is connected, so check that first if yours goes quiet.
Part three: say first when a visit moves
Part three keeps a bad day from becoming a lost customer. Wind, rain, a van that will not start, a sick day: the visit moves. What matters is that the customer hears it before the day, in one message that asks for nothing.
Hello, I cannot get to you tomorrow, [reason]. I will come on [new day] instead. The pool will be fine until then. If anything looks wrong before that, message me here.
If a customer writes “the water looks green” between visits, treat it like extra work. Ask for a photo, say what you think it is in a sentence, give the price if there is one, and ask a plain question: shall I come tomorrow? Do not start until you have a yes in the chat. That is the same habit as Photos Before Price, and for the approval, pin the yes, as in the Green Light.
Keeping the round straight
With dozens of customers on a weekly round, the chats blur. Use labels so you can see the state at a glance. Open a chat, tap the three dots, Label chat, and make four: Visited today, Due tomorrow, Waiting for yes, Away until. The app allows up to 20 labels, and Meta is gradually turning labels into lists, so the menu may read Lists on your phone.
- Due tomorrow is the evening check. Go down the list, and any customer who needs a moved-visit message gets it tonight.
- Away until is for holiday lets and customers abroad, so you know whose pool you are looking after alone.
If a partner or a helper shares the number, decide who owns each chat first. That is in One Chat, One Name, and sorting chats by whose move it is is in Whose Move.
What the free app will not do for a pool business
The WhatsApp Business app carries messages. It does not run your round. Four limits to know before you blame yourself:
- No diary and no route. Who is visited on which day lives in a notebook or a calendar. The chat does not know.
- No reminders on its own. The next visit goes out in the note, by hand. The options are in the Reminder Ladder.
- Everything sends from one phone. Greeting and away messages need that device online.
- No scheduled sends on a +356 number, as far as I have seen. Business Broadcasts were not available on the Maltese number I checked in September 2026, so a message to the whole round goes out by hand.
If you are wondering whether the paid Platform would fix this, read the app versus the API first. A round of a few dozen customers does not need it to run the Visit Note.
Never automate chaos
None of this helps if every customer is on a different arrangement that only you remember. A note that says “next visit Tuesday” when the real plan is fortnightly makes things worse. If you cannot say in two sentences how often each customer is visited and what is included, write that down first.
So the order stands. Diagnose where the week breaks: the “did you come?” message, the gate code, or the visit that moved without a word. Articulate the access message and the note in plain words. Systemize them in the app. Only then AI, and only once the habit holds by hand.
One thing to do today
Write the visit note and save it as a quick reply. After your next visit, take the photo of the water and send it. By the end of the week you will have used it, or you will know which part does not fit your round.
Questions pool business owners ask me
Is WhatsApp Business free for a pool cleaning business?
Yes. The WhatsApp Business app is free, and the greeting message, quick replies, labels and pinned messages all come with it. A pool round of a few dozen customers does not need the paid WhatsApp Business Platform to send visit notes.
How do I tell a pool customer that I have been?
Send one short message after each visit from a saved quick reply: the day, what you did, and one photo of the water. The customer may be at work or abroad, so the photo is the proof that the visit happened.
What do I do when a customer is not home on service day?
Ask once, at the start, for the access details: gate, code, dog, and who to call. Pin that message in the customer's chat. After that, nobody has to be home and nobody has to ask you again.
How do I tell customers a visit has to move?
Message them before the day, not on it. Say the new day in the first line, give the reason in one sentence, and ask for nothing. A visit that moves with notice is a small thing. One that simply does not happen is how you lose a customer.
How do I ask for approval for extra work, like a new pump part?
Send a photo of the problem, one sentence on what it is, the extra price and a plain question: shall I go ahead? Do the work only after a yes in the chat, then pin that message so it is easy to find.
Can WhatsApp Business send a reminder for the next visit by itself?
Not on its own. The app has no diary and cannot send a reminder without you. Keep the round in a notebook or calendar, and put the next visit day at the end of each visit note.
If the “did you come?” messages are the part that costs you
I built this because I was sick of rebuilding yesterday’s messages from memory. I go into small firms across Malta and Gozo, shops, studios, clinics and trades among them, find the one process that is already eating the week, and take it off the owner.
Message me on WhatsApp and tell me which part leaks for you: the visit nobody noticed, the gate code you keep hunting for, or the visit that moved without a word. No slides, no PDF from abroad, and nothing to buy on the call. If I can help, I will. If I cannot, I will say so.
