WhatsApp Business for nail technicians in Malta: the Next Infill
By Lucas · Malta Automations, St. Paul’s Bay · · 7 min read

WhatsApp Business for a nail technician works when the chat stops deciding your day for you. I call that the Next Infill, and it has three parts. The greeting message answers while your hands are in gloves. One saved reply collects the four facts that tell you how long the slot must be. And the next infill is booked before the client leaves the chair, so the chat is not where your regulars get lost. It all runs on the free app.
You are halfway through a full set. Gloves on, file in one hand, the client’s hand in the other. The phone lights up on the trolley. Then again. Then a photo.
At the next gap you read them. “Hi, can I come Saturday?” “How much for these?” with a picture of long, hand-painted almonds. And a regular you have not seen in a while asking if you have anything this week. You book Saturday for an hour. On Saturday she arrives with old acrylic that has to come off first, and your whole afternoon runs late.
Why a nail technician’s WhatsApp leaks
A nail technician’s WhatsApp leaks in two places: the slot gets booked before you know how long the job is, and regulars drift when nobody books their next visit. Your hands are busy for most of the day, so messages get answered in scraps. A scrap is usually a yes to a date, not a question about what is on the nails right now.
And the regulars who used to come back on their own do not write. They wait to be asked, then book somewhere with a free slot that week. That is the first and the third of what I call the Four Moves: the message lands mid-job, and nobody owns the next step.
The Next Infill: three parts
The Next Infill is a short routine: a new client always knows when you will reply, every slot is sized before it is booked, and every regular leaves with the next date.
- A greeting that answers while your hands are busy. It covers the silence.
- One sizing reply, four facts. Service, what is on now, length and shape, one photo.
- The next infill, booked in the chair. Not in the chat a month later.
Part one: a greeting that answers while your hands are busy
Part one replies to a new client before you can. WhatsApp sends the greeting message to a new contact on their first message, and again if they have been silent for 14 days. In the WhatsApp Business app: open the Tools tab, tap Greeting message, turn on Send greeting message, edit the text, choose Recipients, Save. Two things to check: the phone must be online for it to send, and it is switched off if Meta Business Agent is connected.
Thanks for your message. I am with a client and will reply between appointments, usually within a couple of hours. To book you in faster, tell me which service you want, what is on your nails now, and send a photo if you have a design in mind.
It does not promise an instant answer and it does not apologise. It says when, and it asks for the facts you will need anyway. A client who knows they will hear from you this afternoon waits. A client who hears nothing books the studio that answered first.
Part two: one sizing reply, four facts
Part two decides how long the slot is before you give a date. A gel polish change, an infill and a new set with removal are three different lengths of time, and the client often does not know which one they are asking for. Four facts tell you. Save them as one quick reply. In the WhatsApp Business app: Tools tab, Quick replies, tap the plus, write the text, set a shortcut, Save. In a chat, type / and your saved replies come up. The app holds up to 50.
Happy to fit you in. So I book the right amount of time, please send: 1) the service you want, 2) what is on your nails now (natural, gel, acrylic, BIAB, and whether it needs to come off), 3) the length and shape you have in mind, 4) one photo if you want a design. Then I will send you the times I have.
The photo matters more than it looks. Two photos that both say “nail art” can be a quick accent nail or ten hand-painted nails. Once you see it, you know the slot. And you can answer the price question in the same message, because now you know which job it is.
When the first message is only “how much?”
Send the sizing reply first, then the price. A price without the four facts is a guess, and a guess turns into an argument at the table. How to send the same answer every time without a price list in the chat is in the Price Shelf.
Part three: the next infill, booked in the chair
Part three keeps your regulars out of the chat queue. Your regulars come back on a cycle you already know. The best moment to book the next visit is while the top coat is curing and the client is sitting in front of you, not three weeks later in a thread.
Say the date out loud, write it in your book or booking tool, and send one line in the chat so they have it on their phone:
Booked: your infill on [day, date] at [time]. If anything changes, message me here and I will move you.
The day before, send the reminder by hand from a saved reply. That is the same idea as in the Reminder Ladder, and the same answer to missed slots as in reducing no-shows. On the free app it is by hand, and by hand is fine for one chair.
Labels that keep the chat in order
Labels show you whose move it is when you pick up the phone between clients. Open a chat, tap the three dots, Label chat, and make four: New, Waiting for photo, Booked, Repair. The app allows up to 20 labels, and Meta is gradually turning labels into lists, so the menu may read Lists on your phone.
- New gets the sizing reply.
- Waiting for photo is the follow-up. If it has been two days, one line asks if they still want the slot.
- Repair is the lifted or broken nail. It is a short booking of its own, not a favour squeezed between two sets.
The habit of sorting by whose move it is comes from Whose Move. If you share a studio with a hairdresser and one number, decide who owns each chat first. That is One Chat, One Name, and the salon side of the day is in Chair, Gap, Close.
What the free app will not do for a nail technician
The WhatsApp Business app carries messages. It does not run your diary. Four limits to know before you blame yourself:
- No diary and no free-slot view. Who sits in your chair and when lives in your book or booking tool. The chat does not know.
- No reminders on its own. The day-before message goes out by hand.
- Everything sends from one phone. Greeting messages need that device online.
- No scheduled sends on a +356 number, as far as I have seen. Business Broadcasts were not available on the Maltese number I checked in September 2026, so a message to all your regulars about a free slot goes out by hand.
If you are wondering whether the paid Platform would fix this, read the app versus the API first. One chair does not need it to run the Next Infill.
Never automate chaos
None of this helps if you size every job differently. A saved reply that asks for four facts, and then a booking made without looking at them, makes the afternoon run late anyway. If you cannot say in two sentences how long each of your services takes, write that down first.
So the order stands. Diagnose where the week breaks: the slot that was too short, the photo that arrived on the day, or the regular nobody rebooked. Articulate the four facts and the greeting in plain words. Systemize them in the app. Only then AI, and only once the habit holds by hand.
One thing to do today
Save the four-fact sizing reply. Then, with your next client, book their next infill before the top coat goes on. By the end of the week you will have used both, or you will know which part does not fit your studio.
Questions nail technicians ask me
Is WhatsApp Business free for a nail technician?
Yes. The WhatsApp Business app is free, and the greeting message, quick replies and labels all come with it. A nail technician working alone or with one other person does not need the paid WhatsApp Business Platform to take bookings in the chat.
What should I ask a new nail client before I book them?
Four things: which service they want, what is on their nails right now, the length and shape they have in mind, and one reference photo if they want a design. Those four tell you how long the slot has to be. Put them in one saved reply.
How do I answer WhatsApp when I am in the middle of a set?
Let the greeting message answer first, and answer the rest in the gaps between clients. The greeting tells a new client you are with someone, when you will reply, and what to send meanwhile, so the details are waiting when you pick up the phone.
How do I stop clients asking for the price of every design?
Answer the price question with the four facts first. A design from a photo can be a quick job or a long one, and the photo plus what is on the nails now is what tells you which. Keep your own price list where you already keep it and send it the same way every time.
Can WhatsApp Business book infills for me automatically?
No. The app has no diary and does not send reminders on its own. Book the next infill while the client is still in the chair, write it in your own book or booking tool, and send the reminder by hand from a saved reply.
What do I do when a client sends a photo of a lifted or broken nail?
Treat it as its own short booking, not a favour squeezed between two sets. Ask which nail and when it happened, then offer a slot. Keep a label for repairs so they do not get lost under the new enquiries.
If the slot that runs late is the part that costs you
I built this because I was sick of rebuilding yesterday’s messages from memory. I go into small firms across Malta and Gozo, shops, studios, clinics and trades among them, find the one process that is already eating the week, and take it off the owner.
Message me on WhatsApp and tell me which part leaks for you: the messages you cannot answer with gloves on, the slot booked before you saw the nails, or the regulars who stopped coming back. No slides, no PDF from abroad, and nothing to buy on the call. If I can help, I will. If I cannot, I will say so.
