WhatsApp bookings work for a restaurant when every table lives in one book and the chat is answered in two fixed sweeps, one before service and one after. We call this One Book, Two Sweeps. The chat is where a request arrives. The book is where the table exists. It runs on the free WhatsApp Business app with a greeting message, five quick replies and three lists.

A message lands at 19:40: “Hi, table for 4 tonight?”

It arrives in the middle of service. Your hands are full, the pass is calling, and the person who wrote is already looking at the next restaurant on the list. Many guests in Malta will try WhatsApp first, because it is already on their phone. The question is not whether to be there. It is how to answer a message that has a short life while nobody can look at the phone.

Why a restaurant’s WhatsApp is different

A restaurant’s WhatsApp is different because the message has a deadline measured in hours. A quote can wait until the morning. “Tonight for four” cannot. It arrives at the busiest moment, and the answer is only useful until the guest books somewhere else. This is the same leak as in the after-hours guide, only faster.

The second difference is that a restaurant has a real limit. A salon can run late. A restaurant has a number of tables, and a booking that goes out in the chat but not in the book is a promise nobody is keeping.

One Book, Two Sweeps

One Book, Two Sweeps is a rule with two parts. One Book: every table is written in a single place before it is confirmed in the chat, whether that is a paper book, a diary or one shared sheet. Two Sweeps: the chat is answered in two fixed sessions a day, one before service and one after, with a quick reply covering the gap in between.

One Book: the chat is not the diary

A chat that says “Great, see you at 8” feels like a booking. It is not one until the table is in the book. If the diary lives in the chat, a table gets double-booked the first night two people answer the same phone. If it lives in your head, it gets lost on the first busy Friday. Pick one place, and write the table there first.

Two Sweeps: answer in batches, not in the rush

Answering during service means answering badly. A sweep is a fixed ten minutes when someone who is not carrying plates clears the chats and writes the tables into the book. The first sweep is before service, so the evening’s requests are settled while there is still time to say yes. The second is after close, so nothing sits overnight. Fix the times and put them in your greeting message, so the guest knows when to expect an answer.

The greeting that asks for everything at once

The greeting message is your first reply, and it can ask for the whole booking in one go. WhatsApp sends it when someone messages you for the first time, or after 14 days of no activity in that chat. To set it up in the WhatsApp Business app: open the Tools tab, tap Greeting message, turn on Send greeting message, edit the text, choose Recipients and tap Save.

Hi, thank you for writing. This chat is for bookings. Please send the date, the time, how many of you, a name and any allergies. We answer the day’s requests at 15:00 and again after close. For tonight, call us on [number].

That message does three jobs. It tells the guest what to send, so you do not trade five messages to learn the party size. It tells them when to expect an answer. And it gives a phone number for the guest who needs a yes in the next ten minutes. A greeting is sent once per chat, so it is a first line, not a live status. If you want a message that runs only during service, the away message can run on a custom schedule. The settings that quietly stop it working are in the after-hours guide above.

Five quick replies for the booking book

Quick replies let the person on the sweep answer in seconds. In a chat, type / and your saved replies come up. The app stores up to 50. To add one: Tools tab, Quick replies, tap the plus, write the message, set the shortcut, Save.

/full is the one owners skip. A clear no that arrives in ten minutes is better for you than a silence, because the guest remembers who answered. If a quick reply you wrote is gone, the app cannot recover a deleted one, so keep the five in a note too.

Three lists: whose move is every table

At the end of a sweep, every chat should sit on one of three lists: Our move, Their move, Done. A request you have not answered is Our move. A table offered and waiting for the guest’s reply is Their move. A confirmed table, once it is in the book, is Done. The rule is that Our move is empty when you close. The setup is in Whose Move.

If two people share the phone, give each open chat one named person. One Chat, One Name stops the guest getting two replies, or none.

Reminders and no-shows at the table

An empty table at 20:00 cannot be resold at 20:00. A reminder the day before, and a standby name for the slot, are the cheapest ways to protect it. Both are in the Three Guards.

One Malta note. Business Broadcasts, the scheduled send in the Business app, were not available on the Maltese (+356) number we checked in September 2026. Until that changes, a restaurant sends the day-before reminder by hand during the first sweep, off the Done list, or through an approved template on the WhatsApp Business Platform. The Malta note on the number guests see

Guests find you on Google or Facebook first, and the number they tap is the number on your profile. A restaurant often lists a landline, and a Maltese 21 or 27 number cannot be assumed to be on WhatsApp. If a guest taps a WhatsApp button and nothing arrives, they do not try again. Check which number each of your listings points to, then run the Stranger’s Phone Test from the Google Business Profile guide: ask someone who is not you to tap the button on their phone and see if it reaches you.

What the free app will not do for a restaurant

If you are weighing the Platform, read the app versus the API first. For most small restaurants, the free app plus One Book, Two Sweeps is enough to start.

Never automate chaos

If tables are written in the book, on a napkin and in the chat, a quick reply that offers a time is offering a guess. So the order stands. Diagnose where the evening leaks. Articulate the rule in plain words: one book, two sweeps. Systemize it in the greeting and five quick replies. Only then AI, once the habit is proven by hand.

One thing to do today

Tonight, choose the two sweep times and put them in your greeting message with the line that asks for the date, time, party size, name and allergies. Then ask someone who has never messaged the restaurant to send “hi” from their phone. If the greeting arrives, the rule is set from tomorrow.

Can a restaurant take table bookings on WhatsApp Business?

Yes. The free WhatsApp Business app can take booking requests, answer with saved quick replies and show a greeting message to new chats. What it cannot do is hold a table for you. A table is booked when it is written in your one booking book, not when the chat looks agreed.

My restaurant's listed number is a landline. Can people WhatsApp it?

Only if that number is registered on WhatsApp. Maltese 21 and 27 numbers are landlines, so do not assume it is.
